Enable 'Scenario Assignment Notifications' in your Organization Settings if you wish to email learners when they gain access to a new scenario.
ThingLink can notify users by email when they gain access to scenarios. This is useful if you want learners or other users to know when scenarios have been assigned to them, either directly or through a group.
These notifications are controlled by an organization-level setting called Scenario Assignment Notifications. The setting is off by default. Once enabled, it applies to all users and all scenarios in the organization.
This setting replaces the previous scenario notification options.
Enabling notifications
You need to be an administrator to modify this setting.
To enable scenario assignment notifications:
- Go to the Organization page.
- Navigate to the Settings tab.
- Scroll down to Scenario Assignment Notifications and enable the setting.
Important: Once enabled, this setting applies to all scenarios created under your organizational account. Inform your creators about this, as it means learners should only be added to a scenario once it is ready to be viewed.
Make sure to allow your users to receive email from ThingLink (specifically friendly-gnome@thinglink.com).
How it works
When Scenario Assignment Notifications is enabled, users receive an email when they gain access to a scenario. This can happen when:
- They are added to a scenario directly.
- They are added to a group that has access to one or more scenarios.
- A new user account is added to a group at account creation (e.g., by creating the user account via the group page or when using SCIM provisioning).
The notification is sent regardless of the user’s role in the scenario. At the moment, there is no difference between being added as a viewer/learner, editor, or admin.
If your organization uses a ThingLink Landing Page, the email also includes a link to the landing page, where the user can view the rest of the scenarios (as long as the scenarios are also added to the Landing Page).
The email includes the organization’s primary administrator email address in case the user has any questions.
Limitations
- Scenario assignment emails are not sent to more than 1,000 users at a time.
- A single email can include a maximum of 10 scenario links.

If a user gains access to more than 10 scenarios at once, the email includes 10 scenario links.
